POSITION SUMMARY

The EOA will support the Director of Communications & Administration for the event coordination for General Membership and the President and CEO for recruitment/selection of the class each year. In addition, they will support the VP Programs for session day needs and the Director of Youth Programs for recruitment/selection and organizing of major youth events each year.
Reporting to Director of Communications and Administration the Event & Operations Assistant (EOA) will work collaboratively with the staff and volunteers as needed to support the events & operations of LHC.

This is a part-time, 10-20 hours a week position. Work is a variable schedule which will require occasional evening work, and concentrated periods of time based on LHC’s programmatic schedule. Flexibility about working remotely estimating 50-60% at the office and 40-50% optional remote work.

QUALIFICATIONS

Must have event planning experience, proficient in Microsoft suite products, familiarity with Salesforce a plus. Strong organizational & communications skills and independent working ability required.
Must be able to lift and carry up to 25 lbs.
Essential Duties
General Membership:
• Event Preparation
Provide event coordination and support for membership activities throughout the year, as needed – to include:
 Schedule venues and catering for all LHC programs
 Oversee the management of registration/seating (as needed) for Membership events
 Coordinate with Operations Coordinator to produce name badges and reports & registration materials needed
 Onsite support with registration process for events ranging from session days, membership programs, Happy Hours, the Big Event and Annual Dinner as needed.
Leadership Premier:
• Recruitment/Selection
 Coordinate materials and events as related to leadership premier recruitment; incudes assisting with copying materials and assembling packets for distribution throughout the year
 Manage data base for potential recruits and data distribution
 Provide reports for data analysis & scoring
 Schedule interviews for potential candidates
 Produce (replicate) and distribute class materials both electronic and paper
• Program/Planning
 Assist with the coordination of session and event preparation which includes: Manage catering and venue scheduling and setup. Note: For 2018-19, majority of venues contracted; however, follow up will be needed.
o Provide materials and supplies for session days and related events
o Serve as onsite support during sessions and events, as needed.
o Handle session communications such as: topic selection surveys, evaluations, thank-you’ s, payments, needed follow-ups.
Leadership U:
• Recruitment/Selection
Support aspects of Leadership U Recruitment and Selection process
 Manage production and distribution of recruitment and selection materials
 Input and track all applicant data – follow up with applicants/program inquiries
 Provide reports for data analysis and scoring
 Schedule & confirm interviews for potential candidates
 Produce and distribute class materials both electronic and paper; includes production of all training materials for both students, and volunteers.
• Event & Program Planning
Coordinate major LU Events (Welcome Reception/Graduation) -preparation/ coordination/ implementation
 Manage catering and venue scheduling, coordination & setup
 Coordinate and facilitate program materials for class members, parents and volunteers
 Manage registration/detailed seating (as needed): Includes RSVP tracking, communicating with schools re: their participating students, ensuring that appropriate guests and participants have been invited, i.e. Board of Directors, involved speakers throughout program.
Other duties as assigned.

WORKING CONDITIONS

Working conditions are normal for an office environment with remote work option for 40-50%.
